If you would like to book your flights through our travel agent, you may do so and your plane ticket will be prepaid by OCB. Otherwise you may book your own travel and get reimbursed later. However, if flying, you need to use a U.S. flag carrier or we cannot reimburse you. Details for booking through our travel agent are as follows:

If you want to use our travel agency, Carlson-Wagonlit, to have your trip be prepaid, you should call 1-888-woods-14 (1-888-966-3714) or e-mail prefteam10@carlsonwagonlit.com. You need to provide them with the information below, which was given to the travel agency along with a list of travelers:

While we understand that some of you will need to rent cars, we have a limited budget and may not be able to reimburse everyone for car rentals. The Super Shuttle is a cost-effective (~$25) way to get from Tampa Airport to the Courtyard Marriott in St. Petersburg. A taxi will cost ~$50.  Contact information for taxi and Super Shuttle options are listed below.  Participants can also arrange to share rides to/from the airport by providing our arrival/departure information in this google docs spreadsheet.

We are booking two nights (March 26, 27) for all non-local participants, since the meeting ends at lunchtime on March 28. If you need more or less than that, please contact us as soon as possible. After the meeting, the remainder of your expenses can be reimbursed using the WHOI travel expense voucher. No receipts are needed for meals. Per Diem rates are as follows: Breakfast ($10), Lunch ($17), Dinner ($30). Mileage rates are 56.5 cents/mile. Please attach all original receipts of $75 and over for any other expenses such as airfare, car rental, taxi fare, etc. Please attach receipts for baggage check fees, even if <$75. The air passenger receipt is very important, along with baggage receipts, even if less than $75, or anything related to airfare. Without it, our travel reimbursement department will not pay for anything on the expense voucher. If you have an electronic ticket, we still need an air passenger receipt from the travel agency or a receipt from the airline that shows how you paid for the ticket. We do not need boarding passes. For other expenses, we do not need receipts for items under $75 (e.g., tips for hotel cleaning staff, skycaps, etc.). For non-WHOI employees, please put your social security number in the box where it says Employee #. If you have questions, call or e-mail Mary Zawoysky at 508-289-2310, mzawoysky@whoi.edu. Once you have completed the travel expense voucher, please mail with original receipts to: Mary Zawoysky, Ocean Carbon and Biogeochemistry Office, Woods Hole Oceanographic Institution, Department of Marine Chemistry and Geochemistry, 266 Woods Hole Road, MS 43, Woods Hole, MA 02543.
